Payment Terms

The Bus Carriers Federation must receive payment of Bienvenue Québec registration fees no later than July 3, 2020. In the event that your registration fees have not been paid as of that date, the Federation will cancel in full your registration to this event without further notice.

> Any registration received after July 3, 2020 must be accompanied by payment in full.

Cancellation Policy in Case of Fortuitous Event

No partial or full refund will be granted to one or more participants in case of fortuitous event unless it prevents the holding of the entire Bienvenue Québec event. A fortuitous event includes, without limitation, any act of God, strike, partial or complete cessation of work, lockout, fire, riot, intervention by civil or military authorities, acquiescence regulations or orders of any governmental authority, act of war (declared or undeclared), acts of terrorism, earthquake and natural disasters.

Cancellation Policy in Case of Death or Serious Illness

In case of death or serious illness of the participant or a member of the immediate family (father, mother, spouse, and child), a 20% refund of the amount paid will be made on receipt of written proof. A death/medical certificate will be considered proof beyond a reasonable doubt. No other document will be accepted.

Registration transfer

No registration transfer will be accepted.

General Cancellation Policy

If you have to cancel your registration to Bienvenue Québec, you must send a cancellation notice to request a refund to nfournier@federationautobus.com. All reimbursement requests received before August 21, 2020 will be honored, less a processing fee of CAN$100 plus taxes. Unfortunately, no refunds will be given for requests received after August 21, 2020.

Cancellation Policy for the "Free Delegate" Promotion and New Buyers

If you have to cancel your registration to Bienvenue Québec, you must send a cancellation notice to request a refund to nfournier@federationautobus.com. Unfortunately, no refunds will be given for requests received after August 21, 2020.

Participation Policy

  • The delegate registered for package A “Buyer with Pre-established Appointment Schedule” will be given a buyer number and must fill out an appointment request form.

  • Delegates agree to follow their pre-established appointment schedule. In the event of an appointment cancellation, delegates must notify the concerned seller of the appointment cancellation via the web platform.

  • Delegates must be present at their stands throughout all working sessions, and Open Markets.

Buyers who fail to comply with this participation policy are liable to receive a “Non-Compliance Warning Notice.” An accumulation of such warning notices will be perceived by the Bus Carriers Federation as a lack of interest on the part of these buyers, such that any future participation in Bienvenue Québec may be turned down.

The deadline for inserting buyer profiles into the appointment listing is August 21, 2020.

PACKAGE B: ONLINE TRAVEL AGENCY BUYER

General Cancellation Policy

If a written notice of cancellation is received at the Bus Carriers Federation’s offices by August 21, 2020, 50% of the cost of this contract will be refunded. No amount will be refunded for cancellation notices received after August 21, 2020. The same rule applies for accompanying persons and no shows.

Participation Policy

  • The delegate registered for package B “Online Travel Agency Buyer” will be given a buyer number and will receive an appointment schedule consisting exclusively of requests from sellers.

  • Delegates agree to follow their pre-established appointment schedule. In the event of an appointment cancellation, delegates must complete the «Cancellation of Appointment Notice» form to notify the seller of the cancellation.

  • Delegates must be present at their stands throughout all working sessions, free appointment sessions and Open Markets.

Buyers who fail to comply with this participation policy are liable to receive a “Non-Compliance Warning Notice.” An accumulation of such warning notices will be perceived by the Bus Carriers Federation as a lack of interest on the part of these buyers, such that any future participation in Bienvenue Québec may be turned down.

  • Once these numbers are reached (even if prior to the registration deadline), a waiting list for each package will be drawn up.
  • Priority is based on the order registrations are received.

Cancellation Policy

If a written notice of cancellation is received at the Bus Carriers Federation’s offices by July 31st, 2020, 75% of the cost of this contract will be refunded. If a written notice of cancellation is received between August 1st, 2020 and August 21st, 2020 inclusively, 50% of the cost of this contract will be refunded. No amount will be refunded for cancellation notices received after August 21st, 2020. The same rule applies for accompanying persons, enhanced profiles and no shows.

Package Type Change Policy

A written notice received at the Bus Carriers Federation’s office for changing the type of package will be considered as a cancellation (in accordance with the above cancellation policy). The Bus Carriers Federation will make the package type change. This change will be treated as a new registration. A new seller number will be assigned to the company based on the date of receipt of the notice of change.

For the packages A, B and C:

The deadline for inserting seller profiles into the appointment listing is: August 21st, 2020.

Specific to package A:
Three criteria concerning the number of registrations

  • The ratio must be 2.1 sellers per buyer.

  • The breakdown of the sellers’ place of origin must be 75% from Québec and 25% from outside Québec. For all companies originating from outside of Québec province, the tourism associate membership is mandatory.

  • There is a maximum of registered companies per category to be respected in order to have diversity.
